Data Protection Policy

This is the Data Protection Policy for ECO Action for Windsor and Maidenhead and its subsidiary initiatives
(referred to as “ECO Action” going forward, which also encompasses subsidiary initiatives such as
“Share, a Library of Things”).
ECO Action complies with the following privacy principles with respect to personal data.
This policy applies to all staff and third parties involved in business with ECO Action.

Key Terms

  • ECO Action (“we”) – Community group comprising the activities of ECO Action for Windsor and Maidenhead and its subsidiary initiatives, such as Share, a Library of Things.
  • Data holder (“you”) – The person who owns the data.
  • Personal data – Any information that relates to an identified or identifiable living individual, e.g. name, telephone number, email address, postal address, etc.
  • Processing – Any operation or set of operations performed on personal data or sets of personal data, whether or not by automated means.

Policy

  1. ECO Action has access to lawfully acquired personal data and processes that data in a transparent manner.
    Examples of data collected may include personal identification information such as names, phone numbers,
    postal addresses and email addresses.
  2. This policy provides protection to any kind of data ECO Action collects with the consent of data holders when:
    1. Registering online for our mailing list.
    2. Voluntarily completing a survey or providing feedback via email.
    3. Signing up to our lending platform for Share, a Library of Things (myTurn).
  3. ECO Action will process personal data only if and to the extent that:
    1. It has gained the consent of the data holder.
    2. The processing is necessary for the relationship between the parties.
    3. The processing is necessary for compliance with legal obligations.
  4. ECO Action collects information with the explicit consent of data holders and uses it only for the legitimate purposes set out in this policy.
  5. Marketing: ECO Action may send you information about activities and services that we think may be of interest to you. If you have agreed to receive marketing communications, you may opt out at any time.

  7. ECO Action only collects data that is adequate, relevant and limited to what is necessary for the purposes for which it is collected.
  8. ECO Action takes all reasonable and necessary measures to maintain the integrity and confidentiality of the information collected. It does not provide access to unauthorised persons.
  9. Personal data will be retained by ECO Action only for as long as necessary and will be deleted when it is no longer required.
  10. Personal data may be disclosed to ECO Action management or authorised IT personnel where necessary.

    1. The right to access – Request copies of your personal data.
    2. The right to rectification – Request correction of inaccurate information and completion of incomplete information.
    3. The right to erasure – Request deletion of your personal data under certain conditions.
    4. The right to restrict processing – Request restriction of the processing of your personal data under certain conditions.
    5. The right to object to processing – Object to the processing of your personal data under certain conditions.
    6. The right to data portability – Request transfer of the data we hold to another organisation or directly to you under certain conditions.
